Privacy Policy

AI BusinessMate is an online software service that provides AI-assisted business tools: marketing content generation, business planning, quotations and invoices, customer support writing, sales planning, document writing and business coaching.

In this policy, "we" and "us" refer to AI BusinessMate, the operator of this service. "You" refers to the person or business using it.

Account information: your name, email address, password (stored in hashed form by our authentication provider) and, if you provide them, your business name and business details.

Content you create: the briefs you submit to the AI assistants, the outputs generated for you, saved documents and conversation history. This content is stored in your account so you can return to it.

Usage information: how many generations you have used, which assistants you used, and the dates and times of those actions. We use this to enforce plan limits and to show you your remaining credits.

Billing information: your subscription plan, status, renewal date and payment history. Card details are handled by our payment provider and are not stored on our servers.

Technical information: standard server logs such as IP address, browser type and error reports, used for security and reliability.

To create and secure your account, to provide the assistants and document features you use, to enforce your plan's credit allowance, to process payments and manage your subscription, to respond to support requests, and to keep the service safe and working.

We do not sell your personal information, and we do not use the content you create in the assistants to advertise to you or to train third-party models for our own marketing purposes.

When you generate content, the brief you submit is sent to an AI model provider so that a response can be produced. That provider processes the request in order to return the output and is bound by its own data-processing terms.

AI outputs are generated text. They can be incomplete or wrong. You are responsible for reviewing anything you publish, send to a customer, or rely on for a business decision.

We share information only with service providers who help us run the product — hosting, authentication, payments and AI model providers — and only to the extent needed for them to perform that role. We may also disclose information where we are legally required to do so, or to protect the rights and safety of our users.

Access to your account data is restricted at the database level so that customers can only read and change their own records. Administrative access is limited to authorised administrators and is enforced on the server, not only in the interface.

No online service can promise perfect security. If we become aware of a breach affecting your personal information, we will notify affected users as required by applicable law.

Under the Protection of Personal Information Act (POPIA) and comparable laws elsewhere, you may ask to access, correct or delete the personal information we hold about you, object to certain processing, and ask us to stop using your information for a specific purpose.

You can delete your saved documents and conversation history from your account, and you can request deletion of your account by contacting us. Some records, such as payment history, may be retained where we are legally required to keep them.

We keep your account information and content for as long as your account is active. If you close your account, we delete or de-identify your content within a reasonable period, except where retention is required by law or needed to resolve a dispute.

We use the minimum storage needed to keep you signed in and to remember your session. We do not use advertising cookies to track you across other websites.

The service is intended for people running or starting a business and is not directed at children. We do not knowingly collect information from anyone under 18.
